Executive Assistant

The Executive Assistant to the CEO is responsible for providing comprehensive support to the CEO, the Board of Governors, and the Executive Team. Managing the organization’s office operations and working with the Sevier County Medical Center (SCMC) team are daily tasks for this position. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with professionalism and confidence.

Responsibilities for Executive Assistant

  • Provide sophisticated calendar management for the CEO. Prioritize inquiries and requests while troubleshooting conflicts; make sound judgments and recommendations to ensure smooth day-to-day engagements.

  • As a liaison, you will support the Board of Governors by handling logistics for meetings and events. This includes scheduling, drafting agendas, distributing presentation materials, and recording meeting minutes. Compliance with bylaws is crucial for Board matters.

  • Provide support to the CEO in managing the organization. This involves various tasks such as assisting with special projects, creating detailed documents, reports, and presentations, collecting and organizing information for meetings with internal and external customers, writing correspondence, maintaining contact lists, making travel arrangements, and submitting expense and mileage reports.

  • Maintain open communication with the SCMC team. Meet regularly with the Department Directors and provide necessary information and documents.

  • Manage all administrative documentation, including vendor and insurance contracts, in paper and digital form.

  • Collaborate with the CEO in order to keep them informed of upcoming commitments and responsibilities, following up when necessary. Serve as a mediator, having a keen understanding of the issues occurring in the environment and keeping the CEO up to date. Predict the needs of the CEO prior to meetings, conferences, and other events.

Qualifications for Executive Assistant

  • Bachelor's Degree in Business, Healthcare Administration, or equivalent is preferred.

  • Prior administrative experience is required.

  • Intermediate to advanced Microsoft Office skills are necessary.

  • A High School Diploma or equivalent is also required.

    Other duties may be assigned by the CEO as needed.
